The Edit Subordinate Delivery Request feature in Transpomate allows supervisors to edit transport requests created on behalf of their team members. This feature will only be available if the Company Admin has enabled Enclosed Deliveries or Non-Enclosed Deliveries during company setup.
The Admin can navigate to this page by clicking on the Add option from the View Subordinate Delivery Request table.
📌 Important Note:
A subordinate delivery request can be edited only if:
It is still in Pending status (i.e., not yet approved or rejected).
It has not been allocated to a voyage by the Transport Coordinator.
Once the request is approved or allocated, it becomes locked and cannot be edited by the user. In such cases, the user would need to withdraw the request (if possible) and submit a new one.Â
📌 Important Note:Â
A request cannot be edited by the user after it has been:
Approved by a Logistic Manager
Allocated to a voyage
The request, however, can be edited by a Logistic Manager.
The following validations still apply during edit:
Pickup and Drop locations must be different
At least one of the following must be provided:
Requested Start Date and Time
Requested End Date and Time
If a supervisor edits a delivery request and changes the package sender (employee):
The original employee will receive a notification stating that the delivery request has been reassigned to someone else.
The newly selected employee will receive a notification that a request has been created on their behalf.
If any delivery request details (e.g., package name, pickup/drop time, locations, or description) are modified, a notification is sent to the updated package sender, ensuring they are aware of the changes.
If a Logistic Manager is no longer active in the system, the request cannot be resubmitted after editing.
Upon resubmission:
The request stays in Pending status.
Notification is re-sent to the Logistic Manager's for approval.
Expiry Logic remains in place:
If the End Date passes before allocation, the request will expire automatically, and the user will be notified via SMS.
Provide a clear and concise package name that helps coordinators and drivers quickly identify the item.
Example: "Medical Kit – Ward A", "IT Equipment – HQ Office" Â
Ensure the pickup and drop locations are different to avoid request rejection.Â
Set a reasonable delivery window using Start and End Dates to allow enough time for approval and scheduling.Â
Use the Package Description field to add any handling instructions, fragile item warnings, or special access information (e.g., “Handle with care – glass items”, “Deliver before 2 PM”). Â
