The Managing Delivery Requests feature enables logistic managers to review, approve, or decline delivery requests submitted by generic users. Logistic managers can take action to ensure that only complete and valid delivery requests are approved for further processing and allocation to voyages.
📌Note:
This feature will only be available if the Company Admin has selected the Enclosed Deliveries or Non-Enclosed Deliveries option during the Company Configuration Setup process.
Enclosed Deliveries is used for transporting packages in a secured, enclosed space (e.g., boxed shipments, fragile goods).
Pre-Defined Labels:
Weight, Width, Height, and Length (These must be filled when requesting a package delivery).
These values are required to optimize vehicle loading capacity.
Custom Labels:
The admin can define additional package-related labels (e.g., temperature control, fragile items)
These labels are optional but will be visible in both delivery requests and vehicle details.
Logistic Manager: Review, approve, and decline delivery requests. Edit incomplete requests before approval.
A logistic manager can navigate to Manage Delivery Requests by the sidebar icon highlighted on the image.
Upon hovering over the icon, a tooltip will be displayed to the user as Manage Delivery Requests.
When an employee (or their supervisor) submits a delivery request, the Logistic Manager receives:
An email notification containing basic request details.
An optional SMS alert, if configured.
The Logistic Manager logs into the system and navigates to Manage Delivery Request from the sidebar.
By default, the New Requests tab opens, showing all delivery requests awaiting review.
The manager can:
Edit a request to fill in missing mandatory details.
Approve the request if all required data is present.
Decline the request if it's invalid or unnecessary.
Once actioned, the request is moved to the Reviewed Requests tab, allowing the manager to review or reverse their decision if needed.
The system sends automatic notifications to the employee once a request is approved, declined, or edited.
Purpose:
To present all pending delivery requests that need review or additional input before approval.
Details:
Requests shown are in Pending status only.
Available from all departments.
The Approve button will be disabled if required data is missing (see below).
Why the Approve Button May Be Disabled:
Generic Users may submit minimal requests (e.g., just package name and description).
However, the following are required for voyage allocation:
Pickup & Drop Locations
Start & End Dates and Times
Since Generic Users may not know these, the system allows Logistic Managers to edit and complete the data before approving.
If all required data is filled (either by the employee or manager), the Approve button is enabled.
Actions Allowed:
Edit
Approve (enabled only if all mandatory fields are filled)
Decline
Purpose:
To show previously reviewed delivery requests and allow corrections if needed.
Details:
Displays both Approved and Declined requests.
Still editable in case of decision reversal or information updates.
Actions Allowed:
Edit
Re-approve or Re-decline
➤ Note: The Approve button is disabled if required fields are still missing.
Purpose:
To provide a complete view of all requests handled by the Logistic Manager—regardless of their current status.
Details:
Shows Pending, Approved, Declined, and Expired requests.
No edit actions allowed in this tab—read-only view for reference.
📌Important Notes:
Delivery requests come from all departments; no configuration is needed.
Editing is expected—Logistic Managers can and should fill in delivery details before approving.
The Approve button will remain disabled until the request is fully schedulable.
Use the Reviewed Requests tab to reverse decisions when needed.
Use comments when declining a request to communicate the reason to the employee.
All actions (edit, approve, decline, reassign) trigger automatic email and/or SMS notifications to the employee.
