The Edit Subordinate Passenger Request feature in Transpomate allows supervisors to do changes to transport requests created on behalf of their team members. This feature will only be available if the Company Admin has enabled Passenger Transport during company setup.
The Admin can navigate to this page by clicking on the Edit option from the View Subordinate Passenger Request table.
📌 Important Note:
A subordinate passenger request can be edited only if:
It is still in Pending status (i.e., not yet approved or rejected).
It has not been allocated to a voyage by the Transport Coordinator.
Once the request is approved or allocated, it becomes locked and cannot be edited by the user. In such cases, the user would need to withdraw the request (if possible) and submit a new one.Â
📌 Important Note:Â
A request cannot be edited after it has been:
Approved by a Manager
Allocated to a voyage
The following validations still apply during edit:
Pickup and Drop locations must be different
At least one of the following must be provided:
Requested Start Date and Time
Requested End Date and Time
If a supervisor edits an existing request and changes the employee the request was originally created for:
A notification is sent to the original employee, informing them that the request has been reassigned.
A new notification is sent to the newly selected employee, notifying them that a request has been created on their behalf.
If the supervisor modifies any of the request details (e.g., pickup/drop location, date, time, or comments), a notification is also sent to the assigned employee, informing them of the updates made to their request.
If a Manager is no longer assigned to the employee's department, the request cannot be resubmitted after editing.
Upon resubmission:
The request stays in Pending status.
Notification is re-sent to the assigned Manager for approval.
Expiry Logic remains in place:
If the End Date passes before allocation, the request will expire automatically, and the user will be notified via SMS.
Always verify you're creating or editing the request for the right employee. Mistakes may lead to incorrect routing or missed voyages.Â
If possible, confirm pickup/drop locations and preferred times with the employee beforehand.Â
Stay updated on the request's progress in case further edits or cancellations are required before approval.Â
